How to Conduct a Huddle

The huddle is seven minutes that turn a group of people who showed up into a team that is ready. It happens before every serving experience. Here is the flow.

0:00 to 0:30 | Welcome and Thank You

• Greet your team with energy.

• Thank them for showing up early and showing up consistently.

• Give a quick WHY reminder: "We're not just filling spots. We're leading people to Jesus through every smile and every moment."

0:30 to 2:00 | Need-to-Know Updates

Highlight one or two upcoming events or opportunities. For example:

• "Serve Week signups are live."

• "Wednesday Nights with Pastor John."

• "Baptisms today after second service!"

Close by telling them where to find more: the Serve Hub, WhatsApp, or CCB.

2:00 to 3:30 | Culture Moment

Celebrate people. Build culture.

• Shout out a volunteer or team effort that crushed it this week. Say what they did and why it mattered.

• Celebrate birthdays, milestones, and big wins. Keep it fun and loud.

• Welcome new volunteers with a clap-in or cheers. Make them feel seen.

3:30 to 5:00 | Scripture & Discipleship Focus

Share one short verse, like Colossians 3:23 or Galatians 5:13. Then make three quick reflective statements:

• Me: how this applies to my heart

• We: how this applies to us as a team

• Serving: how this shapes the way we serve today

5:00 to 7:00 | Prayer Over the Experience

Pray for the team, for the people you are about to serve, and for the Lord's will today.

Tips for leaders

• Start on time, end on time. A huddle that runs long costs the room its setup.

• Prepare the shoutout. Specific praise lands. "Great job, everyone" does not.

• Use it to assign roles. Teams like Student Life give roles and locations here, so no one walks out unsure where to go.

• Rotate the verse and prayer to volunteers you are developing. It is one of the easiest ways to raise leaders.
